Friendly, laid back and growing Chicago/national law firm, is seeking an Office Manager to run in the day-to-day operations of the Chicago Illinois office. The Office Manager will be the executive assistant for two Equity Partners, one of whom is the Managing Partner. The Office Manager is responsible to coordinate and monitor all activities within the office. They ensure all administrative work is being completed accurately and in a timely manner through office staff supervision and task delegation. They develop intra-office communication protocols, streamline administrative procedures, handle inventory control, and maintain oversight for all office duties and responsibilities.

 Responsibilities and Duties:

  • Provide executive and legal administrative assistance for two Equity Partners, one of whom is the Managing Partner.
  • Supervises office staff and administrative functions.
  • Assists in the development and implementation of office policies, protocols and procedures.
  • Conducts monthly meetings with office support staff.
  • Oversees maintenance of office equipment and supplies.
  • Coordinates with IT department on all office equipment for new hires and fully prepares office space for new hires.
  • Maintains office staff job results by coaching, counseling, and guiding employees; planning, monitoring, and appraising job results.
  • Manages the successful onboarding and handles orientation for all new office employees.
  • Reviews and approves staffs’ semi-monthly time sheets and submit to HR.
  • Writes checks via petty cash; sends to finance; balances checkbook.
  • Handles all Equity Partners’ meeting material – confidential matters.
  • Manages relationships with vendors, service providers, and landlord.
  • Assists visiting attorneys.
  • Renews attorney memberships – state and local bar registration, CLE registration, networking group memberships, etc.
  • Supervises and assists admins as needed with deadlines or production of documents, correspondence or covering vacations.
  • Participates in the annual performance review process for all office support staff.
  • Coordinates workflow for the office’s support staff and adjusts as necessary.
  • Participates in hiring, terminating, training, mentoring and supervising administrative staff.
  • Establishes team atmosphere though leadership and employee development.
  • Participates in the planning and execution of company events.
  • Draft case intake forms for all new matters.
  • Edit all pre-bills for the office.
  • Complete billing procedures for private client matters. 
  • Conducts Conflict check for all new matters.
  • Other duties, as needed, to support KDV and office operations.

Qualifications:

  • Proficient in Microsoft Office Programs.
  • Minimum of 5 years’ experience working in a law firm. 
  • Previous management or supervisory experience required.
  • Must have positive attitude.
  • Strong written and verbal communication skills.
  • Ability to integrate into a fast-paced environment.
  • Highly organized and detail oriented.
  • Ability to multitask and triage assignments with ease.
  • Work independently but also support staff and be a team leader.
